Event Submission Guidelines
Approval Guidelines
The following guidelines determine whether your event will be approved for listing on Kikipedia. Please review these carefully before submitting your event because our form is long and we don't want you to waste your time.
1. Event Eligibility
First Of All: are you the organizer or someone directly involved with the event? If not, is the organizer aware that you are posting their event to our platform? While we appreciate community event contributions, we prefer that someone associated with the event in question is the one to submit the event. Nothing is more awkward than us having to reach out to an event organizer directly on social media to clarify something, only for them to have no idea who we are.
Note: As of January 2026, a point of contact email address is required on all event submissions. If we are unable to use that point of contact email address to verify that the submission was submitted by someone involved with the event, we will NOT approve the submission.
We accept most LGBTQ-centric events: drag shows, circuit parties, kink nights, dance parties, drag bingo, trivia at gay bars, pride parties (preference to those organized by LGBTQ people), etc...
Please keep in mind: While our demographic is typically 21+ and 18+ events, we do accept certain all-ages events.
2. Exclusions and Restrictions
To maintain platform relevance, quality, and user safety, the following types of events are typically not accepted:
- Event listings are not enabled for all areas; we will not approve any events that circumvent our submissions safeguards to prevent this
- General event periods (e.g. Bear Week, Pride Weeks, multi-day festivals, etc...) are managed separately from individual events and are currently only supported for focus areas
- Happy hours or drink special nights (this will be available as a separate feature in the future)
- Private events such as house parties
- Pride events at schools, colleges, or corporate offices
- Drag story hours (for the safety of participants / outside our demographic focus)
- Large tour-style events such as concerts and large-scale production shows
3. Venue Requirements
Events may be held at either:
- Preferred: An existing Kikipedia venue
- A new venue that can be verified via Google Maps
Note: New venues require additional verification time before event approval.
4. Best Practices
To ensure your event is listed effectively:
- Prefer Recurrence: We here at Kikipedia LOVE regularly recurring events and generic flyer graphics. They're easy to maintain, they're predictable, they scale well, and they're search engine optimized. We prefer regularly recurring events over individual event submissions for each occurrence, as that keeps things clean on our end. Verified users are welcome to update their existing recurring listings when themes change as well as mark skipped and off-schedule dates.
- Event Names: Please do not include the venue name in the event name - we automatically append it in most places
- Description: Provide detailed information to help people find your event. Please minimize emoji use, and keep in mind that our search engine ignores #hashtags
- Cost: List the typical cover or ticket price, or a range (e.g. $10 - $15)
- Links:
- Event Page: A link to your event's official web page, social media event page, or your org's website
- Tickets: A link to where people can purchase tickets
- Reservations: Include reservation link, phone, or email, with any specific details in the description. Please note that any email address provided in this field will be publicly visible.
5. Right to Gatekeep
Kikipedia reserves the right to reject any event submission at our sole discretion, with or without cause, and without prior notice. While we strive to maintain clear guidelines, we may reject submissions that do not align with our platform's goals, values, or quality standards, even if they technically meet the requirements listed above.
Managing Your Event Listing
The following information explains how to manage your event listing and our point-of-contact system.
1. Event Types and Scheduling
Updated as of December 2025! Kikipedia supports several types of event scheduling:
- Recurring Events: Weekly, monthly, or semi-monthly patterns. Now supporting start, end, skip, and off-schedule dates!
- Specific Date Events: Specify one or more dates for your event
What we do not yet support, but may in the future:
- Bi-weekly patterns (alternating weeks)
- Bi-monthly patterns (alternating months)
Important notes about event timing:
- Events ending after midnight are assumed to be ending the next day
2. Point of Contact System
As of January 2026, a point of contact email is required by all guest users when submitting an event. When you submit an event and provide your email address, you become its designated point of contact. This means:
- You will receive notifications about your event's approval status
- You can manage and update your event through our portal
- You are responsible for keeping event information current
- For recurring events, you may receive a check-in email every few months to ensure the event is still happening
- You can opt out of email notifications at any time
Important: If you are submitting an event on behalf of someone else, please ensure they have provided you with permission to do so, and provide their contact information if possible instead.
FYI: Your contact information is protected:
- Email addresses are encrypted and stored securely
- Contact information is never publicly visible
- Only Kikipedia administrators can view contact details
- We never share or sell user information to third parties
- Contact information provided in any field other than the designated point of contact email field will be treated as public information and may be displayed on the event listing
3. The Kikipedia Management Portal
When you event is approved, you will be able to access the Kikipedia Management Portal, which provides tools to:
- Edit event details and scheduling
- Reactivate expired specific-date events
- Convert one-time events to recurring events
- Skip or adjust dates for recurring events
- Remove or deactivate events
